How to Add Your Email Signature
Follow these steps to make sure every email you send includes your professional contact information:
Step 1: Open Your Email Settings
-
Gmail: Click the gear icon ⚙️ → See all settings → Scroll down to Signature.
-
Outlook (Web): Click the gear icon ⚙️ → View all Outlook settings → Mail → Compose and reply → Email signature.
-
Outlook (Desktop App): File → Options → Mail → Signatures → New.
-
Apple Mail: Mail → Preferences → Signatures → Select your account → Click the + button to add a new signature.
Step 2: Copy the Pre-Made Signature
-
Copy the signature exactly as provided. Do not type it out from memory—copying preserves formatting, spacing, and any logos.
-
Paste the copied signature into the signature editor in your email settings.
Step 3: Customize Your Personal Information
-
Important: You must replace the placeholder details with your own information. Specifically:
-
Name → Replace with your full name
-
Title → Replace with your job title
-
Phone Number → Replace with your direct phone number
-
Email Address → Replace with your own email
-
If you skip this step, emails will display incorrect information.
Step 4: Set the Signature as Default
-
Make sure the signature is applied to new emails and replies/forwards, so it is automatically included in every message.
Step 5: Test Your Signature
-
Send a test email to yourself.
-
Check that:
-
Your personal details are correct
-
Formatting looks clean and professional
-
Links and logos display properly
-
Step 6: Keep It Updated
-
If your job title, phone number, or email changes, update your signature immediately to avoid confusion.
